Licensing, Credentials, and Professional Affiliations

All In One Community Management, Inc. ensures that our community association managers hold the required licenses and certifications under Georgia law. Our managers are licensed as Community Association Managers (CAMs) or a licensed Salesperson by the Georgia Real Estate Commission (GREC) where applicable, and many hold advanced designations such as Certified Manager of Community Associations (CMCA®), Association Management Specialist (AMS®), or Professional Community Association Manager (PCAM®) through the Community Associations Institute (CAI).

We are proud members of the CAI Georgia Chapter and adhere to the CAI Professional Manager Code of Ethics, which requires integrity, transparency, and prioritization of the associations' best interests.

Financial Management and Safeguards

We handle association funds with the highest standards of fiduciary responsibility and transparency:

  • All association funds are held in dedicated, segregated bank accounts in the name of the association (never commingled with our operating funds).
  • We use secure, third-party accounting software and processes, with regular reconciliations and financial reporting provided to association boards on a monthly basis.
  • Internal controls include multi-level approvals for disbursements, segregation of duties, and periodic reviews to prevent fraud or errors.
  • We encourage associations to obtain annual reserve studies, audits/reviews (as required by governing documents or board preference), and to maintain fidelity bond coverage on the association's behalf.
  • All financial practices comply with Georgia law, association governing documents, and best practices recommended by CAI.

Code of Ethics

We adhere to CAI's Professional Manager Code of Ethics, which requires transparency in vendor relationships and prohibits undisclosed conflicts or improper influence.

Vendor Relationships and Industry Practices Disclosure

In the community association management industry, it is common and routine for vendors (such as contractors, service providers, suppliers, and preferred partners) to engage in standard business development activities. These may include:

  • Cold calls, site visits, or scheduled meetings to discuss services.
  • Dropping off promotional items, samples, branded merchandise, holiday treats, or small goodwill gestures (e.g., coffee, snacks, or logoed apparel).
  • Inviting management team members to industry events, trade shows, lunches, dinners, golf outings, sporting events, or educational seminars.
  • Sponsoring appreciation activities or providing modest hospitality as part of building professional relationships.

These practices are widespread and generally viewed as part of normal B2B sales etiquette, similar to other service industries. They help vendors stay visible and allow our team to stay informed about market options, new technologies, and best practices that could benefit the associations we manage.

Our Commitment to Ethics and Objectivity

At All In One Community Management, Inc., we maintain strict policies to ensure these interactions do not influence our recommendations or decisions:

  • All vendor recommendations are based solely on the needs, budget, performance history, qualifications, pricing, and best interests of the specific association and its residents.
  • We consider multiple competitive options and prioritize fiduciary duty under Georgia law and professional standards for community association management.
  • Our team does not accept any gifts, entertainment, or favors that could reasonably create a conflict of interest or the appearance of impropriety. Any items or invitations of more than nominal value are disclosed internally and, if necessary, declined or shared appropriately (e.g., raffled among staff or donated).
  • We prohibit any form of kickbacks, commissions, or undisclosed financial incentives in exchange for business referrals.
  • Vendor relationships, including any affiliations (such as our disclosed interest in Gr8Referrals LLC), are handled transparently to avoid even the perception of favoritism.

We encourage our managed associations' boards to maintain their own oversight of vendor selections, bids, and approvals.

Banking Disclosure

All In One Community Management, Inc. (AIO) has executed a depository services agreement with Western Alliance Bank, the service agreement reimburses AIO for certain services such as account opening, customer identification and compliance with banking regulations, lockbox administration and management, computer software and equipment, integrations, internal controls, staff training, check scanning, mobile deposits and lending. These services incur costs to AIO on behalf of the bank resulting in employee compensation and equipment expense savings to the bank.

AIO may enter into additional depository services agreements as it deems appropriate.

Affiliated Vendor Referral Platform (Gr8referrals.com) Disclosure

Vendors and service providers can register and manage their listings directly through their gr8referrals account. This integration provides our management team with easy, centralized access to a directory of service providers when searching for recommendations to present to the homeowner/condo associations we serve.

Gr8Referrals helps build trusted, community-sourced vendor lists by allowing residents and associations to view/share recommendations (free for residents/associations to use).

Key Assurances

Use of Gr8Referrals is entirely voluntary for vendors, associations, boards, and residents. No association is required to use it, and we always consider competitive options from multiple sources when recommending providers. The association's Board of Directors is the deciding factor on which vendor they use.

All vendor recommendations prioritize the best interests of the associations we manage, in line with our fiduciary responsibilities and applicable Georgia laws/regulations for community association management.

Any business interactions or referrals involving Gr8Referrals are handled ethically and transparently. Vendors may pay a fee/subscription to maintain enhanced listings on Gr8Referrals, but this does not influence our recommendations or create obligations for associations. All In One Community Management may receive a portion of the fee/subscription vendors pay Gr8referrals.

This affiliation is disclosed to ensure full openness with our clients and partners.

Ownership Interest Disclosure

All In One Community Management, Inc. (AIO) wishes to inform our clients and stakeholders that certain owners and/or officers of our company maintain an ownership stake in Gr8Referrals LLC, an independent entity that may provide referral services related to community needs (such as individual community preferred vendor lists and vendor lists for AIO Community Association Managers) and software solutions to AIO.

This relationship is disclosed to ensure full transparency. Any engagement with Gr8Referrals LLC is not mandatory, occurs only when it aligns with the association's best interests, and is subject to board approval where required. All decisions prioritize the fiduciary duties owed to the associations we serve, and we adhere to all relevant state regulations and ethical standards for community association management.

This disclosure is provided in the interest of openness and may be updated as circumstances change.

Fair Housing and Non-Discrimination

All In One Community Management, Inc. complies fully with federal, state, and local fair housing laws, including the Fair Housing Act. We do not discriminate in providing services on the basis of race, color, religion, sex, national origin, familial status, disability, or any other protected class. Association boards are encouraged to adopt and enforce fair, non-discriminatory policies.
